Article I- Club NameThe name of this organization shall be the “Country Friends Dance Club.” Herein so referred to as the “Club.” Article II- PurposeThe “Country Friends Dance Club” is a nonprofit group of individuals joined together to enjoy and promote country western dancing in the spirit of friendship and to progressively advance their dancing on an individual level. “The Club” has long-range goals of camaraderie, encouraging growth, sharing instruction duties. Article III – Membership and Membership RequirementsThere shall be no numerical limitation in the “club.” Applicants must be eighteen (18) years of age or older. Prospective new members will be invited as non-paying guests to two (2) sessions to meet the “Club” members and participate in dancing. If they wish to join, they must pay membership dues on the third visit. Singles are welcome but responsible for their own dance partners. New members will be offered a buddy couple to ‘mentor them into the “Club”. Member ship dues shall be set at $15.00 per person/per year. The “Club” membership year begins on March 1st. Those joining after September 1 pay $7.50 per person for the balance of the membership year. The dues must be paid before the applicant may enjoy the benefits of membership. Dues and weekly door admissions pay the expense of purchasing tapes, renting a building, instructional materials, and other “Club” activities. Article IV- Expenses and Financial ReportA checking account for the “Club” will be maintained and all checks require the signature of either the Treasurer or the President. “Club” expenditures over $200.00 must be voted upon by the membership. An audit of the “Club” financial records will be performed by the Treasurer and at least two members in good standing and the year-end balance reported to the membership.
I n the case that the “Club” disbands, all money in the treasury, tapes, stereo equipment, and other “Club” properties will be sold and divided equally to club members. Club treasurer shall reimburse expenditures incurred by officers and other club members doing club business. Article V – Board of Officers and CommitteesThe Board of Officers shall consist of six (6) positions: President, First Vice-President, Second Vice-President, Treasurer, Secretary, and Web Director. The Board of Officers shall be nominated and voted on by attending membership. Spouses, Dance partners/Couples shall not be allowed to hold offices at the same time. In the case that the President resigns, the First Vice-President shall move up into his/her place. Elections will be held for all other vacant positions. The Board of Officers, as elected by the membership in attendance, shall serve a one (1) year term from the commencement of their date of election and serve no more than two consecutive years. Election of new officers will be held at the February club meeting with transfer of duties at the March meeting. Officers shall not be expected to pay door admission during their term of office. A dance committee shall consist of volunteers who determine teaching responsibilities. New members for the dance committee will serve a minimum of one month. At the end of the term, the dance committee will give to the Second Vice-President a written record of dances taught, music used, as well as who instructed. A committee of at least two members, appointed by the President, shall review our facilities at the beginning of each membership year. This will include reviewing our responsibilities to meeting site, relationships with meeting site personnel, contract with site. This committee will also survey and review other possible meeting places. A report will be made at club meeting. Article VI – Officer DutiesPresident The President is responsible for overall club activities, open and close all meetings, make final decisions in absence of members, supervise elected officers and appointed committees in their roles, review and approve final reports, delegate duties and details. First Vice-President The First Vice-President shall assist the President in all of the above responsibilities and assume those responsibilities in his/her absence. This officer will assist the Second Vice-President in the recruitment of dance committees and the supervision of the dance committee activities. This officer will also be responsible for the keeping of historical records and the club’s photo album. Second Vice-President The Second Vice-President shall recruit the dance committees and supervise the dance committee activities, and keep a record of dances taught, music used, as well as who instructed. This officer will maintain the organization of the club’s CDs and tapes. This officer will assume the duties of the Sergeant–At-Arms, which are to maintain peace within the club. Treasurer The Treasurer shall collect membership dues; keep financial records of debts and credits and bank ledgers, prepare financial report, and act as Web treasurer. Secretary The Secretary shall record the activities of all meetings, maintain membership records, handle written correspondence, prepare monthly sign-in sheets and nametags, and publish a monthly newsletter. Web Administrator The Web Administrator shall maintain the club web site; reviewing the site on a monthly basis, make changes on the calendar, see that the monthly newsletter is posted, and keep other sections up-to-date. The Web Director may choose an assistant to help with this job. Article VII - By-laws RevisionsThe Country Friends Dance Club By-Laws shall be reviewed annually at the start of the membership year or as otherwise needed. The president shall appoint person/persons to this responsibility. For the by-laws to be amended proposed changes shall be presented at a club meeting, substance of revisions published in the newsletter and voted at a subsequent meeting by a majority of the club members in attendance. Where revisions are in conflict with current practice, affect of revisions may not be in effect until the next membership year. The “Club” Secretary, showing amendments and date of changes will keep a copy of the by-laws up-to-date. Copies of the by-laws will be available to all members. Reviewed and Approved April 5th 2007
